Job Description
Job Context
The Student Activities department is at the heart of student life at Brunel – home to our sports clubs and societies.
We’re looking for a people-focused manager who can build strong relationships, inspire volunteers, and create a culture where every student feels welcome to get involved. The postholder will motivate their team to deliver exceptional customer service and support students to lead, participate, and get involved in what will be one of the highlights of their Brunel experience.
The role also involves working with key external partners (including National Governing Bodies, BUCS, Wealdstone FC and Maidenhead Futsal), ensuring compliance with policies and regulations, and collaborating with University partners to make the department the best it can be.

Job Purpose
To manage the Union’s Student Activities department, supporting the delivery of inclusive, high-quality sports, societies, and student-led opportunities. The postholder will ensure effective systems, strong team management, and an outstanding experience for students engaging in Union activities.

Main Tasks and Responsibilities
Event Management and Delivery
• Lead on the planning and delivery of major Union events, including Freshers’ Fair (attended by over 3,500 students), Varsity, and campus-wide celebrations such as Diwali, Holi, and Eid.
• Ensure all events meet health and safety requirements, with robust risk assessments and operational plans.
• Work collaboratively with University departments and external partners to ensure safe and successful delivery.
Representative and Recreational Sport
• Oversee all representative sports activity, ensuring compliance with BUCS and other league regulations, and that fixtures and competitions are delivered cost-effectively while providing a positive experience for committees and members.
• Manage the delivery of Active@Brunel and intramural leagues, ensuring an inclusive, accessible, and enjoyable sports offer.
• Work with the team to find creative ways to engage all students in sport and physical activity in ways that suit their lifestyles.
• Recruit, train, and support student activators and volunteers to deliver sessions confidently and safely.
• Ensure students purchase the required memberships and that appropriate monitoring processes are in place.
• Act as the main operational contact for governing bodies and external partners.
Societies and Student-Led Groups
• Support the development of societies and student-led groups, ensuring they have the tools, training, and resources needed to thrive.
• Ensure societies and student-led groups operate as supportive, inclusive communities by providing training, guidance, and oversight to help them meet legislative requirements, follow approved codes of conduct, and uphold the Union’s core values.
• Manage budgets and facilities effectively, supporting committees to operate within financial procedures.
• Work with the Head of Department to plan strategically for the long-term development of student-led activities.
One Brunel: Cultural Celebration and Awareness
• Lead the One Brunel initiative, working with societies and student groups to plan a programme of activities that celebrates cultural diversity on campus.
• Collaborate with students to deliver inclusive, awareness-raising, and celebratory events throughout the year.
Volunteer Development and Governance
• Develop and deliver training and resources for student committee members, ensuring they understand their responsibilities and feel empowered to lead.
• Support and coordinate democratic processes such as the Team Brunel and Societies Guild Committees, forums, and departmental elections, empowering students to make a real difference across campus.
• Manage and respond to complaints or concerns raised by students, volunteers, or committee members, ensuring issues are addressed fairly, promptly, and in line with Union policies and procedures.
Impact and Reporting
• Ensure engagement and participation data is accurately captured through systems such as our ticketing platform and Membership Management System.
• Produce regular reports demonstrating the reach and impact of Student Activities on the wider student experience.
Departmental Management
• Recruit, line manage, and develop the Student Activities team, ensuring a supportive, collaborative, and high-performing culture – and a workplace where people enjoy coming to work.
• Oversee departmental health and safety, insurance, transport, and data protection processes.
• Maintain strong working relationships with University staff and partners to support delivery.
• Ensure all activity complies with Union and University regulations, GDPR, and relevant legislation.
Finance and Fundraising
• Support the development and management of annual budgets for sports clubs, societies, and departmental activities.
• Monitor spending, ensure adherence to financial policies, and report on variances where required.
• Foster a culture where clubs and societies actively fundraise to enhance their activities and improve members’ experiences, ensuring all fundraising complies with charity law.
General
• Ensure a high and consistent standard of customer care within all areas of responsibility.
• Assist in maintaining departmental stationary supplies, processing orders and invoices.
• Provide emergency cover for the Union Reception as required when possible.
• Be aware of, and abide by, the confidentiality policy of the Union.
• Actively contribute to the activities of the Union, and support fellow members of the team as directed by the line management structure.
• Be aware of the necessary Health and Safety policies, legislation and best practice, as practiced by the Union.
• Work within the Union’s procedures and codes of practice.
• Undertake such other duties as are agreed to being in keeping with the general nature of the job and its grade.
• Abide by the Union’s Recycling Policy at all times.
• Ensure all relevant departmental activity is in line with the specific requirements of and the spirit of the Union’s Environmental and Ethics Policies.
