Job Description
Job Title: Venue Development Coordinator
Department : Championships
Reporting To: Venue Development Manager - Championships

Job Purpose
To coordinate in scoping , researching , planning , executing and delivering a variety of key
transformational venue development projects at The R&A’s Open venues associated with
permanent infrastructure and golf course changes, planning 4-5 years’ ahead, to ensure the
venues remain best in class, operational ly efficient and suitable to host modern Championships.

Supporting the staging and delivery of The Open in any given year working with various
suppliers /contractors , to deliver the championship to an industry leading world class standard, in
line with agreed tolerances and departmental and organisational aims.

To foster and maintain collaborative working relationships with various internal and external
stakeholders, including senior leadership and influential partners, in order to deliver the portfolio
of venue development projects on time and within budget, whilst balancing and fulfilling
stakeholder requirements and needs.

Key Accountabilities
• Proactively planning , scoping and supp ort the team in managing a variety of venue
development projects simultaneously , in line with the venue development strategy and in
liaison with a variety of internal and external stakeholders ,
• Responsible for the co -ordination and management of activities including project
planning , contractor appointments , legal contracts and project execution, escalating any
decisions requiring sign off to the Director , or relevant stakeholder, when required.
• Collaborate and work closely with internal stakeholders across the business and be
responsible in compiling and understanding their requirements relating to open venue
infrastructure , helping to manage their expectations and communicating progress and
outcomes on a regular basis, in order to inform project plans and deliver projects that
meet the requirements of the business .
• Be responsible for the budget tracker and support in scoping , researching and defining
budgets, on specific projects , and be responsible for updating and reviewing in depth cost
matrices for all projects on a regular basis to ensure projects deliver the best return on
investment .
• Be responsible for recording, managing , updating and developing the venue development
administrational cost s and specifications database , so as to better inform future project
costings and improve departmental efficiencies.
• Implement and improve key processes , documents for the effective management and
delivery of Venue Development projects.
• Produce, implement , manage, and update minutes from meetings, site visits notes and
presentations, stakeholder presentations, project plans and other administrative
documents as requested by the Venue Development Manager and Director.
• Responsible for producing a recommendations document for future venue changes to be
presented and considered by senior management within the department by compiling
feedback, documentation from across the department. At times when requested, support
the delivery team onsite at The Open to help oversee and supervise the extended
infrastructure build and de -rigging phases, and through effective collaboration and
detailed planning ensure that all contracted work is completed to the agreed schedule,
on budget and in line with relevant Health and Safety and other legislation .
Resource
• Update pre-determined budgets on specific agreed projects with the Director and input
into relevant project budgets when required.
• Assist with sourcing suppliers and managing purchase orders
• Support the Venue Development Manager in managing external contractors , directing
and overseeing their scope of works .
• Help ensure documentation and procedures meet regulatory standards.

Expertise
• Degree level qualification, or relevant equivalent experience.
• Some experience in project management within a multi -stakeholder environment.
• Some experience working in a major event environment, preferably at a greenfield site.
• Some experience of managing and liaising with contractors.
• Experience of using Microsoft Office Packages , including Outlook, Word, Excel and
Power Point.
• Knowledge and experience of budgeting and forecasting .
• Ability to communicate, negotiate and influence a variety of internal and external
stakeholders, including senior leadership.
• Willingness to travel and work flexibly across event sites.
