ABOUT THE GIG

We’re looking for a smart and outgoing Event Operations Executive to join our UK Operations Team. This is a role that can be based remotely across the UK; however, regular travel of a minimum of two days a week into a central office location close to London city centre would be expected. The primary responsibility of the Event Operations Executive is to create and manage an exceptional event experience within the Event Village area – focusing on maximizing customer satisfaction whilst delivering a seamless, cost effective operation.

This role will report into the Event Operations Manager and will work closely with other central event services functions across both the Spartan and Tough Mudder brands. There will be extensive travel and weekend work required in this role.

DUTIES/RESPONSIBILITIES:

- Assist the Event Operations Manager with all event planning requirements
- Own the planning and delivery for all front of house aspects of the event. Specifically focus on design, set up and management of the Event Village area
- Identify, negotiate terms and contract external vendors and service providers
- Identify and deliver revenue enhancing activities to drive on site participant spend
- Identify and deliver opportunities to enhance customer satisfaction through the Event Village experience
- Ensure effective and safe partner servicing and management, including siting of activations and collection of risk assessments and insurance documents.
- Create event specific briefing documents for both internal and external use
- Manage up to 120 staff on event weekends, including the sourcing of a number of crew and contractors for event week and event weekend operations
- Development and refinement of operational plans: Produce/contribute to key event documents.
- Create purchase orders, invoicing and ensure financial control documents are up to date and accurate
- Assist in post-event budget reconciliation
- Collation of vendor health and safety documentation and ensuring event village contractors abide by all applicable regulations during event build and break down.

Requirements

Experience:

- Degree level education in a relevant discipline is preferred, comparable experience within the events industry will also be considered
- 2+ years of experience in live events operations
- Demonstrable experience of mass participation event planning, particularly events in greenfield locations
- Experience in online software suites; Google Drive, Docs/Sheets etc.
- Experience in Visio or similar software to aid venue planning

Knowledge:

- Excellent knowledge of Event Operations, planning, licensing, H&S.
- Knowledge and experience with budgets

Skills and Aptitudes:

- Strong critical thinker and communicator
- Ability to thrive in a fast-paced environment
- Strong organisational skills and attention to detail
- Creative problem-solver
- Focused on meeting objectives and delivering results

Personal qualities:

Other:

- Valid driving license
- Willingness to be working away, often up to 10 plus days at a time to oversee event delivery
- H & S qualification such as IOSH or similar
