Job Description
The Overall Purpose of the Role

Reporting to the Chief Executive, the PA role provides a broad range of high level administrative and organisational support to the BEF Chief Executive and Chair of the Board ensuring that they are expertly supported. A key part of the role is to support the Chair and CEO in the management of stakeholder relationships, internally and externally.

KEY RESPONSIBILITIES

Support for the Chair and CEO

• Diary Management and assistance in managing and prioritising email and written correspondence.
• Organise and/or attend meetings for the CEO and Chair, preparing paperwork and presentations in advance and circulating minutes and actions in a timely manner post-meetings.
• Organise travel all travel arrangements nationally and internationally.
• Liaise with the BEF Member Bodies and other key stakeholders on behalf of the CEO and Chair as appropriate.
• Manage the registration and attendance for the CEO and Chair at international events, including FEI and EEF General Assemblies, forums, group and committee meetings as required, including all associated travel arrangements
• Assist in the management of the relationship with the FEI and EEF Chairs and CEOs, circulating any correspondence, and support the Head of Secretariat with the dissemination of information from the FEI and EEF as required.
• In conjunction with the BEF Head of Communications and CEO and Chair, provide administrative support in relation to hospitality for VIPs at international events.
• Provide assistance with the planning of events for the Patron of the BEF, providing administrative support and working in conjunction with the Patron's office.
• Circulate request for nominations for New Year and Birthday Honours and submit nominations as appropriate with relevant citations and supporting letters.
• Manage the annual nominations process and act as secretary for the BEF Medal of Honour Committee.
• Attend events or competitions in support of the CEO and Chair as required.

Support to the Company Secretary and Governance responsibilities

• Work with the CEO, Chair and Company Secretary in the preparation of the agenda, papers and reports for the Board, Board committees and Council.
• Act as Secretary to the Audit and Risk Committee.
• Monitor all actions required of the CEO by the Board and assist in the completion of tasks ensuring action is taken in a timely manner.
• Provide additional support for administrative processes related to the fulfilment of the BEF’s regulatory and services functions.

General Duties

• Provide support for the administrative processes related to internal meetings including room bookings, attendance lists and invitations, minute taking, document preparation, etc.
• Support Senior Leadership Team and wider team projects and initiatives as needed and maintain a collaborative office culture.
• Undertake general clerical duties, including maintaining appropriate filing systems, preparing documentation and correspondence as requested, dealing with telephone and email enquiries.

Experience and Competencies Required

• Proven experience in a PA or EA role supporting at C-Suite level, preferably from within a sport or membership-based organisation or legal/professional services environment.
• Experience coordinating and communicating with multiple stakeholders.
• Experience of managing and working in a fast paced, high-profile and confidential environment.
• Experience of extensive minute taking and coordinating the appropriate administration attached to meetings.
• Ability to think ahead - able to look forward into diary and identify pressure points
• Excellent IT Skills with an advanced knowledge of MS Office packages, including Word, Excel and PowerPoint.
• Ability to manage projects which require collaboration with both internal and external teams.
• Task and delivery focused with excellent attention to detail.

• Excellent interpersonal and communication skills with the ability to work with others with wide ranging views.
• Collaborative team player with an open and consultative style and optimistic ‘can do’ approach.
• Strong planning and organisational skills with the ability to prioritise and meet timescales.
• A willingness to entertain new ideas and seize challenges that arise.
• Personal integrity, tact and diplomacy and the ability to invoke trust and respect from others.
• Maintain the highest level of professionalism, confidentiality and discretion.
