Company Overview

As part of the Yorkshire Cricket network, the YCF delivers programmes, events and initiatives that bring people together, strengthen communities and support the development of clubs and leagues. Working in partnership with schools, clubs, local authorities, faith groups and other organisations, the YCF aims to grow participation, foster inclusive environments and ensure cricket is accessible, welcoming and sustainable across Yorkshire.

Job Purpose

The People Administrator provides high-quality administrative support across the full employee lifecycle - ensuring smooth, compliant and positive People / HR processes.

Working closely with the Head of People and the Development Coordinator, as well as managers and employees across the wider organisation, this role helps maintain accurate People data, supports recruitment / onboarding activity and acts as a first point of contact for day-to-day HR queries. They will also provide administrative support to the Safe & Fair Cricket team when required.

The People Administrator plays a key role in maintaining professional standards, supporting a positive employee experience and upholding Yorkshire Cricket’s values, safeguarding commitments and EDI principles.

Key Responsibilities

Employee Lifecycle

Onboarding:

- Prepare and issue pre-employment documentation and monitor completion of required compliance checks.

- Coordinate onboarding activities to help ensure new starters have a smooth joining experience.

- Arrange People Team inductions and support new starters with completing onboarding paperwork.

- Maintain accurate employee records on the HR system.

Contract Changes:

- Prepare contract variation letters and other employment documentation for approval.

- Update employee records on the HR system to reflect approved changes.

- Notify the Finance team of relevant contractual changes to support payroll processing.

- Ensure all documentation is filed accurately and in line with data protection requirements.

Leaver Management:

- Administer the leaver process, including preparing documentation and coordinating offboarding activities.

- Calculate outstanding annual leave balances and prepare relevant paperwork.

- Schedule exit interviews where required and record feedback provided.

- Update the HR system and liaise with IT regarding system access and equipment returns.

- Share leaver information with the Finance team to support payroll processing.

Employee & Management Support

- Act as the first point of contact for routine People-related queries via the shared People inbox, responding to straightforward enquiries and escalating more complex matters to the People Advisor or Head of People.

- Provide administrative support to employees and managers on People processes and direct them to relevant policies and guidance.

- Support the administration of the Personal Development Plan (PDP) process, including sending reminders, monitoring completion, and maintaining records.

- Coordinate probation review reminders and prepare confirmation letters following manager approval.

- Maintain accurate absence records on the HR system and produce basic absence reports when required.

- Provide administrative support for employee relations processes, including arranging meetings, preparing documentation, and taking notes where appropriate.

- Maintain accurate and confidential employee records, ensuring HR documentation is up to date and compliant with company procedures.

- Support the wider People team with day-to-day administrative tasks and projects as required.

Recruitment

- Provide administrative support throughout the recruitment process for permanent, fixed-term and casual roles.

- Prepare and publish vacancy advertisements on agreed recruitment platforms.

- Respond to routine candidate enquiries and direct more complex queries to the appropriate member of the People team.

- Support Hiring Managers with recruitment administration, including arranging interviews, preparing interview schedules and coordinating logistics.

- Prepare recruitment documentation, including interview packs and offer paperwork.

- Carry out pre-employment administration, including obtaining and recording Right to Work documentation, references, DBS checks and other pre-employment checks.

- Set up new starters on the HR system and maintain accurate recruitment and employee records.

- Prepare employment contracts and new starter documentation for approval and issue.

- Share new starter information with the Finance team to support payroll set-up.

- Ensure recruitment documentation is accurately maintained and processed in line with organisational procedures, GDPR and safer recruitment requirements.

HR Systems & Data Management

- Maintain accurate and up-to-date employee records on the HR system.

- Update and monitor Right to Work records, liaising with employees and managers to obtain required documentation and escalating any issues where appropriate.

- Ensure employee files and HR documentation are stored accurately and in line with GDPR and organisational record-keeping requirements.

- Produce routine HR reports and data as requested to support the People team, payroll and compliance activities.

Carry out regular data checks to help ensure the accuracy and completeness of HR records.

Safe & Fair

- Provide administrative support to the Safe & Fair Cricket team.

- Demonstrate, at all times, a commitment to safeguarding children and adults.

- Contribute to the implementation of the Yorkshire Cricket Safeguarding policy.

Report any safeguarding concerns in accordance with Yorkshire Cricket’s Safeguarding Report Management Procedure.
