Job Description: This is a varied role combining bookings administration, customer service and practical facility operations.

The successful contractor will initially take responsibility for a defined group of recurring bookings and users, allowing them to become fully familiar with FPSP’s booking and invoicing processes.

This will include learning and using Bookteq for bookings and Xero for routine invoicing.

As confidence and experience develops, the role may expand to include additional regular bookings, wider administration and further operational responsibilities.

The role will also provide practical support at the facility, including evening opening and closing, event preparation, routine checks and general facility support.

You will work closely with the Operations Manager and Administration/Bookings Manager and will be expected to provide clear updates on work completed, outstanding issues and anything requiring escalation.

What you’ll do
Bookings & customer administration
Manage an agreed portfolio of founding-club and regular-user bookings.
Respond to routine booking enquiries and check availability using Bookteq.

Maintain booking schedules, calendars, confirmations and booking records.

Chase missing information, documentation or booking requirements.
Communicate with clubs, schools, community groups and regular facility users.

Ensure changes, cancellations and amendments are accurately recorded.

Gradually take responsibility for additional regular users as experience develops.

Maintain clear records so that bookings are not duplicated or missed.
Invoicing & administration
Prepare and issue routine invoices through Xero.
Complete agreed monthly reports for founding clubs and regular users.
Follow up routine outstanding booking information and payments as directed.
Maintain accurate administrative records.
Support the Administration/Bookings Manager with agreed recurring administrative tasks.
The role will not initially involve banking, financial reporting or access to FPSP’s banking systems.
Facility operations
Undertake agreed to regular evening cover, including opening and closing the facility.
Welcome users and deal with straightforward operational queries.
Ensure the facility is ready for scheduled bookings and activities.
Set up and clear down facilities for events and bookings.
Carry out routine facility checks following appropriate induction and task-specific training.
Identify maintenance issues, photograph/log them and escalate them appropriately.
Assist with basic cleaning and tidying of operational areas and changing facilities.
Assist with mowing, basic grounds work and sports/event preparation where required and following appropriate training.
Support contractors and suppliers with site access when requested.

Communication & reporting
Maintain a simple record of bookings, invoicing, operational issues and actions.
Provide a concise weekly update to the relevant manager.
Escalate safeguarding, health and safety, security, facility or customer issues appropriately.
Work collaboratively with the wider FPSP team without duplicating responsibilities already assigned to other team members.
