Job Description
British Olympic Association and Team GB

Team GB is the British and Northern Irish Olympic team – one of the nation’s most successful teams and one of its favourite brands. Run by the British Olympic Association (BOA), Team GB competes at Olympic and Olympic Winter Games and other events such as the European Games, Youth Olympic Games and European Youth Olympic Festivals.

The BOA’s primary purpose is to:

• Select, lead and manage Team GB at Olympic and Olympic Winter Games and all International Olympic Committee (IOC) and European Olympic Committee (EOC) accredited events such as Youth Olympic Games, European Youth Olympic Festivals and the European Games, and;
• Develop the Olympic Movement and promote the principles and values of Olympism in our territory of responsibility.

The Role

The BOA are seeking to appoint two co-ordinators within the Sports Services Team. These roles will be required to support multiple Functional Areas across a range of different Games related projects. The co-ordinators will support the preparation, planning and participation of Team GB at the Olympic and Olympic Winter Games, European Games, Youth Olympic Games and European Youth Olympic Festivals.

Key Responsibilities

• Provide general administrative and operational support, assisting with project delivery and ad hoc tasks as required
• Support the delivery of meetings and workshops for internal and external stakeholders by drafting agendas, supporting the preparation of presentations, taking minutes, and owning the communication and tracking of meeting outcomes and actions
• Manage data collection and processing in spreadsheets or other systems
• Administer key documents including plans, timelines and reports ensuring the consistent and accurate recording of information
• Support the raising of purchase orders and booking of other services in relevant systems.
• Assist in tracking and reporting of all budgetary activities within the team
• Support management of physical inventory such as kit and equipment
• Work proactively and independently to identify opportunities to support the team, contributing to the effective and efficient delivery of operations, projects and team objectives
• Contribute to Team GB across Summer and Winter events including Youth, European and Olympic Games, which may require extensive overseas travel and extended periods away from home

One co-ordinator will primarily work across Games Services, some role specific responsibilities are:
• Support operational needs as required across accreditation, accommodation, travel, logistics, transport etc.
• Help to plan and deliver recces to host cities, including travel arrangements, accommodation bookings, and itinerary development.
• Support team kit operations, including inventory control, distribution planning, and co-ordinating kitting out events

One co-ordinator will primarily work across Sport Engagement and Performance Services, some role specific responsibilities are:

• Support the coordination of information flow from the Sport team to other BOA internal departments, ensuring accurate and timely communications
• Support the Sport team with the administration of ongoing work streams; including Olympic Qualification Standards, Performance Services, Athlete Services and Olympic Solidarity.
• Liaise with the Programme Management function disseminating information as required to ensure a consistent project-based way of working
• Provide cover to deliver the Athlete Medical Scheme (AMS) when the AMS Manager is absent due to leave or illness
Key Challenges in Delivering the Role:

• The role operates in a fast-paced, high-pressure environment, with a consistent focus on delivering results to tight deadlines
• This role involves working in an ambiguous environment, managing input and direction from multiple stakeholders with numerous work streams running concurrently

Person Specification:

• Ability to work effectively in a deadline-driven environment, managing multiple workstreams simultaneously
• Confident verbal communicator with the ability to present information clearly and effectively
• Strong written communication skills, with the ability to produce clear and professional documentation as well as concise day-to-day correspondence
• Proficient in Microsoft Office and similar systems, including spreadsheets, word processing, and presentation software
• Experience in gathering, collating, maintaining, and reporting on data
• Proactive and able to work independently, using initiative while seeking guidance where appropriate and offering solutions
• Highly organised, with excellent attention to detail and accuracy
• Willingness and ability to travel nationally to support meetings and events
• An interest in, and understanding of, high-performance Olympic or elite sport
• Demonstrates an understanding of, and ability to comply with, relevant GDPR and safeguarding policies
• Committed to fairness, inclusion, and teamwork, contributing positively to team and organisational success
• Must have right to work in the UK
