Type of contract Part-time, Permanent, 18 Hours per week (Tuesday, Wednesday and Thursday)

UK Anti-Doping (UKAD) is on a mission to protect clean sport and currently has an exciting opportunity for you to join us.

We’re looking to recruit a Business Services and Facilities Administrator to play an active role in delivering high-quality administrative and facilities support to ensure the effective operation of UK Anti-Doping’s offices.

Job purpose

You will be responsible for delivering high-quality administrative and facilities support to ensure the effective operation of UK Anti-Doping’s offices. Acting as the primary point of contact for stakeholders, the role will manage incoming correspondence, coordinate facilities management, and maintain office facilities to a professional standard. You will also oversee health and safety compliance and provide support to the Executive team.

Key result areas include

Office and Facilities Management:

Sport Park

• Screening and prioritising of all post and arranging outgoing post for all teams at Sport Park

• Ensure that the office facilities (e.g. meeting rooms, shared areas & kitchen) are maintained to a high standard and work to resolve any reasonable equipment issues

• Ordering stationery and office supplies and regularly monitoring stock levels.

• Take on the role of Fire Marshal for the building: working alongside other Fire Marshals to assist with the fire alarm testing (weekly) and assist with the safe evacuation of the building.

Sport Park and Redman Place

• Organise all Health & Safety training for staff e.g. Fire Marshall training, and First Aid & emergency evacuation procedures.

• Pro-actively recruit Fire Wardens and First Aiders, ensuring full training is undertaken and qualifications remain active.

• Conduct regular review meetings with Fire Marshalls and First Aiders to ensure policies/procedures meet with current legislation.

• Take responsibility for ensuring all building maintenance queries across both sites (Sport Park and Redman Place) are satisfactorily resolved and monitored.

Administrative support for the Executive team / Chair

• Collating and submitting expenses for the CEO, Chair and Director of Finance and Business Services and on occasion, other members of the Executive team.

• Ensuring the CEO’s, Chair’s and Director of Finance and Business Services Gifts and Hospitality register is updated.

• Deputising for the Governance Officer to support the Director of Finance and Business Services in governance related matters when required.

- Working with the Executive team to organise weekly Directors’ Team meetings, including booking meeting rooms, and publishing minutes

Administration and Business Support

• Provide administrative support to members of the Directors Team and the wider Business Services Team.

• Responsible for all first line contact with UK Anti-Doping stakeholders by phone and e-mail ensuring all queries are dealt with professionally and in a timely manner.

• Supporting the Communications and Business Services Teams during Team Talks and All Staff Days as required

Person specification

Qualifications/experience/knowledge

Educated to A level standard or equivalent
Understanding of Health and Safety legislative requirements
Competent user of Microsoft Packages
Experience of managing and working to administrative processes and procedures in a fast paced, high profile environment
Demonstrable experience of handling confidential and sensitive information

Skills

Proven planning and organising skills with the ability to prioritise and organise own work

Ability to work independently and use own initiative when dealing with unexpected problems and emergencies, referring more complex problems to the appropriate persons.

An effective communicator with the proven written and verbal skills.

Ability to use initiative and judgement, with a pro-active approach to problem solving and continuous improvement mindset.

Flexible with the ability to work on own initiative and as part of a team.

Excellent interpersonal skills and can-do attitude.
