Job Description
An exciting opportunity has arisen to join us as our Academy Secretary. The successful candidate will provide administration support to our Academy Department, manage the Administration needs of the Senior Academy Management staff, manage matchday administration for U16 U18 & U21 games, manage the registration process for all U16, U18, U21 and associated trialists, and liaise with the Football Club Secretary on all Academy Players registration matters. Flexibility in working pattern is required as this role includes evening & weekend working, as well as attendance at home and occasional away matchdays as agreed in advance with your line manager. The successful candidate will also have the proven ability to work well under pressure

Key Accountabilities
To be the key point of contact for Academy Coaches, Players and parents, assisting the Academy Manager, Facilities Manager and the ground staff personnel in ensuring the smooth operation of the U16, U18 and U21 Academy Games Programme
​To collate all Scout and Visitor lists for games as required
To liaise with opposition Clubs to confirm arrangements for both home and away fixtures for the U16, U18 and U21 by phone and in writing.
To liaise with Premier League and English Football League regarding arrangements of the U16, U18 and U21 fixtures and update during the season
To liaise with the RFC Match day Coordinator on U16, U18 and U21 Home and Away fixtures.
To distribute match logistic sheets/ documents internally to staff
To liaise with County F.A. to confirm appointment of match officials to U16, U18 and U21 home fixtures, both over the phone and ni writing
To handle al transport arrangements for away fixtures for the U16, U18 and U21
To be responsible for the booking and arrangements of academy hotels/ Meals requirements for matches
To complete all pre and post match administration for home and away fixtures relating to the U16, U18 and U21.
To be responsible for the administration of al registrations relating to the U16, U18 and U21 players
To be responsible for the administration of the retain/ release process of al players in the U16, U18 and U21
To be responsible for the maintenance of the football information platform for the RFC staff and players inclusion onto the system.
To provide al administrative arrangements to stage the annual academy scholarship registration induction event, including the distribution and collection of New Season Personnel information.
To attend weekly AMT as meeting Secretary, taking the minutes and distributing the minutes
To attend U16, U18 and U21 MDT meetings taking and distributing the minutes
To assist in making the appropriate travel arrangements for any scholars housed by Reading Football Club that require flights/ train travel as and when required.
To liaise with the Academy Manager over the managing of complimentary ticket allocation
To be responsible for the administration of additional U16, U18 and U21 matches during pre-season, Christmas and Easter.
To be responsible for the administration relating to any academy tours or trips as required
To manage the Academy online schedule for the U16, U18 and U21, ensuring that all the match arrangements are updated in a timely fashion.
To liaise with the International Football Associations to confirm any U16, U18 and U23 International Call- ups
To assist with the booking of any facilities or meeting rooms that may be required by Academy Staff
To be the main contact for the player whereabouts, liaising with The Head of Sports Science and Medicine, submitting the weekly plans and ensuring that the players addresses are up to date on the football information platform
To liaise with the U16, U18 and U21 coaches to ensure that the Academy calendar is up to date with all associated activities
To demonstrate consistent high levels of Customer service and build excellent working links with fellow colleagues and your counterparts at other clubs, The Football Association, The Premier League and The English Football League.
To undertake additional duties as required from time to time by the Football Club Secretary and Head of Operations.
