Job Description
PROPITCH BACKGROUND

ProPitch is a market-leading natural turf consultancy, providing independent pitch support services across elite sports environments. Our expertise spans tournament delivery, pitch construction quality control, feasibility studies, design and planning, tender evaluation, and agronomic support. We also offer advanced data recording and analysis solutions, giving our clients access to a comprehensive performance database and deep insights into pitch performance criteria.

We work collaboratively with governing bodies, leagues, and stadium operators to ensure pitches meet the highest international standards - delivering consistency, safety, and optimal performance for players and officials, while helping our clients achieve outstanding results.

ROLE SUMMARY

We are seeking a proactive and organised Project Coordinator (Maternity Cover) to join our team. The successful candidate will play a pivotal role in ensuring the smooth delivery of client projects by developing and maintaining internal processes, facilitating effective communication, and ensuring documentation and reporting standards are met. This role requires excellent organisational skills, strong communication abilities, and a commitment to maintaining exceptional client relationships.

This role is offered on a fixed-term contract basis (12 months), with possibility for extension depending on business needs. Full-time or part-time hours can be considered, depending on the candidate.

KEY TASKS AND RESPONSIBILITIES

Process Development and Management:
• Create, develop, and refine internal processes to document and deliver key client information effectively.
• Establish and maintain a comprehensive internal platform for storing, organising, and retrieving documentation efficiently.

Documentation and Reporting:
• Proofread and review consultants' reports to ensure accuracy, consistency, and adherence to company standards before sharing with clients.
• Manage the distribution of finalised reports and documentation to clients in a timely and professional manner.

Client Relationship Management:
• Maintain and nurture key client relationships, ensuring effective communication and a high standard of service delivery.
• Act as a primary point of contact for clients, addressing queries and concerns swiftly and professionally.

Internal and External Communication:
• Facilitate clear and effective communication between internal consultants and clients to ensure meetings and site visits are coordinated seamlessly.
• Schedule and manage meetings, appointments, and project milestones to ensure timely completion.

Project Coordination:
• Monitor project progress, ensuring they remain on schedule and within scope.
• Identify potential challenges or delays and propose solutions to mitigate risks.
• Assist in resource allocation and ensure that project requirements are met.

Administrative Support:
• Maintain detailed records of client interactions, project updates, and key deliverables.
• Prepare and distribute agendas, minutes, and follow-up actions as required.
• Ensure compliance with company policies and procedures in all aspects of project coordination.

Meeting Leadership:
• Lead meetings to guide discussions for technical staff, ensuring objectives are met and actions are clearly defined.

PERSON SPECIFICATION

Qualifications & Experience

• Proven experience in project coordination or a similar role.
• Exceptional organisational and time-management skills.
• Experience managing project documentation, reporting, and tracking progress against milestones.
• Confident in liaising with internal teams and external stakeholders.
• Competent in using project management and collaboration tools (e.g., MS Office, Teams, SharePoint).

Skills & Abilities

• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy in all work.
• Ability to work both independently and as part of a team.
• Problem-solving mindset with a proactive, can-do attitude.
• Comfortable managing competing priorities ability to work under pressure.
