Job Description
About the Club

Leamington Lawn Tennis & Squash Club is a highly successful Community Amateur Sports Club providing a friendly, open and welcoming community, offering a vibrant tennis and squash programme for players of all ages and abilities.

Alongside our racquet sports, we provide a well-equipped gym and a lively social calendar. We are now seeking an organised, people-focused leader to guide the next stage of the Club’s development and ensure an excellent experience for all members.

Role Overview

Based in our Club Office in Leamington Spa, the Club Manager leads a small team and oversees the smooth running of day-to-day operations. The role focuses on coordination, leadership and member experience, supported by clear processes, defined responsibilities and a strong committee structure.

This is a full-time position with occasional evening or weekend commitments for major events and meetings, planned in advance and shared with the Assistant Manager and relevant committees. The club manager will be ultimately responsible for keeping things ticking over, so an element of availability and responsiveness, particularly for urgent out-of-hours matters, will be required, but they will also be expected to implement systems and processes to enable delegation and sharing of such responsibilities.

Key Responsibilities

1. Leadership & Member Experience

Provide visible, approachable leadership within the Club during core hours.
Work closely with the Assistant Club Manager, delegating operational tasks appropriately.

Lead, motivate, develop and support staff, ensuring clear responsibilities, regular communication and a collaborative culture.
Respond to member enquiries in a timely, professional manner, supported by the Assistant Manager.

Attend Club committee meetings and work with the Management Committee to deliver the Club’s strategic objectives.

Support Section Committees (Tennis, Squash, Social) in delivering their programmes.

2. Operations & Facilities

Oversee the delivery of a planned maintenance schedule to ensure facilities remain safe, clean and well-presented.

Manage relationships with cleaning, grounds and maintenance contractors.
Coordinate capital projects, working with committees to select suppliers and ensure timely delivery.

Ensure compliance with employment law, health & safety, safeguarding, GDPR and other relevant regulations, supported by the Management Committee and external providers if required.

Work with the Safeguarding & Welfare Officer to ensure key messages and processes are communicated effectively.

3. Membership, Administration & Finance

Oversee membership administration, ensuring efficient processes and excellent member experience.

Manage room bookings for events, meetings and external hires.

Work with the Treasurer and Bookkeeper to maintain accurate financial oversight, including budgeting, reporting and invoice approval.

Manage internal systems and outsourced providers, including Xero, WordPress, Canva, Mailchimp, membership databases, booking systems, direct debit and payroll.

4. Marketing, Events & Sponsorship

Use modern communication channels (email, website, social media (in particular WhatsApp)) to engage members and support retention.

Provide support for coach-organised tournaments and help coordinate social events, with operational assistance from committees and volunteers.

Manage and grow the Club’s sponsorship programme to increase revenue.
Maintain and update the Club website, ensuring information is accurate and engaging.

Experience & Personal Qualities

Essential Experience

Experience in administration, operations or leisure management, ideally within a membership-based organisation.

Experience managing people and coordinating projects.

Strong IT skills, including confidence with Xero, WordPress, Canva, Mailchimp, membership systems and booking platforms.

Experience in improving processes and enhancing user experience.

Personal Qualities

A confident leader and effective delegator with excellent attention to detail.
Strong communication skills and a proactive approach to member engagement.
Organised, reliable and able to prioritise effectively.

Creative, open-minded and committed to continuous improvement.

Resilient, trustworthy and comfortable adapting to new procedures and regulations.
Able to set clear expectations around workload and wellbeing, fostering a positive and sustainable workplace.
