Job Description
Post Title
Receptionist (Part-Time).

Department/Location
Town Sports and Entertainment Group, Accu Stadium.

Reports to
Security Manager.

Purpose of the Role
In this front-of-house role, the post holder will be the first point of contact for telephone, email and in-person enquiries, and as such will be required to demonstrate a positive attitude and a polished, professional appearance. The post holder will be expected to provide a professional, welcoming experience to everyone that visits the Accu Stadium.

The post holder will also provide a high-quality administrative service and undertake a variety of tasks, communicating in a personable, professional, and timely manner using both verbal and written communication methods. The post holder will contribute to maintaining a safe and secure environment for all staff and visitors to the Accu Stadium.

• All enquiries are acknowledged and responded to within agreed timescales.

• The Reception area is clean, tidy and reflective of a professional working environment at all times
Role Specific Responsibilities

The post holder is required to:

• Ensure all staff / visitors are wearing Identification Badges.

• Welcome and greet visitors, ensuring they sign in and are issued with a visitors’ badge as may be necessary.

• Inform members of staff when visitors have arrived.

• Answer incoming telephone calls in an efficient and timely manner, determining the purpose of each call, and forwarding calls to the appropriate member of staff or department.

• Receive and deliver messages or transfer calls to voicemail when the appropriate member of staff is unavailable.

• Receive all deliveries for the Accu Stadium, following the deliveries receivable policy, and notify relevant departments / people in a timely manner.

• Ensure the main voicemail reflects the opening hours of the site, special events and/or office closures.

• Answer all emails in a timely manner, determining the purpose of the email and forwarding the email to the relevant department as applicable.

• Respond to all emails in a polite and professional manner.

• Maintain a clear desk policy to ensure compliance with General Data Protection Regulation requirements.

• Ensure the Reception area is organised and consistently presented to a high, professional standard.

• Assist with administrative duties including preparing a range of documents, e.g. memos, reports, emails etc. as required.

• Receive, sort, and distribute mail received at the Accu Stadium.

• Manage, order, and control stationery for all departments located at the Accu Stadium.

• Respond to questions about the organization(s) and provide relevant information, while also ensuring compliance with General Data Protection Regulation legislation.

• Set an example to others in terms of professional conduct and appearance, both on and off duty.
• Display confidence and maintain a calm and organised approach when working to tight deadlines and/or under pressure.

• Address any confrontational issues and/or complaints in a confident, calm and solution-oriented manner.

• Execute additional tasks as required to meet the changing priorities of the department and organisation, including covering for sickness absence or other absences on occasion.

This job description is not intended to be exhaustive, and the post holder will also be required to undertake any other duties as required by the Security Manager, the Managing Director, and/or any other Senior Leader commensurate with the level of the post.

· Demonstrate a commitment to safeguarding and promoting the welfare of children and young people.

· Respect others and behave in an inclusive and non-discriminatory manner, taking account of all protected characteristics as specified in the Equality Act 2010.

Receptionist

Required to work on a Tuesday, Wednesday, and Thursday, 8:00am – 5:00pm (24 hours per week) with an unpaid lunch break of one hour per day.

We are currently recruiting to the position of Receptionist to support the existing team. As a receptionist, you will play a key role in ensuring the smooth day-to-day running of the Club’s front of house operations. You will be the face of the Club, providing a warm welcome and excellent customer service to everyone who walks through our doors.
