Job Description
The English Karate Federation is seeking a qualified or substantially experienced data protection professional to serve as our independent Data Protection Officer.

We support karate associations, clubs, coaches, volunteers and participants across England. Our work involves membership records, children’s information, disability and health information, and sensitive safeguarding matters. We need someone who understands these responsibilities and can help us manage them properly.

What you will do

• Advise the Board on UK GDPR, the Data Protection Act 2018 and practical data protection requirements.
• Review our privacy notices, retention schedules, data protection policies and records of processing activities.
• Advise on membership systems, safeguarding case management, information sharing and supplier arrangements.
• Support data protection impact assessments, subject access requests and personal data breach assessments.
• Monitor compliance, identify gaps and report recommendations directly to the Board.
• Provide proportionate training and guidance for directors, officers and volunteers.
• Act as the organisation’s contact for data protection enquiries and liaison with the Information Commissioner’s Office.

You will have direct access to the Board and the independence necessary to provide advice, scrutiny and challenge.

Essential qualifications or equivalent experience

You must hold a recognised professional qualification.

Alternatively, you must demonstrate substantial equivalent professional experience as a Data Protection Officer or senior privacy practitioner, with responsibility for advising organisations and monitoring compliance.

All applicants must demonstrate practical knowledge of UK data protection law. A qualification alone will not replace the ability to apply that knowledge.

What we are looking for

• Experience handling sensitive personal information and maintaining confidentiality.
• Confidence advising senior leaders and explaining complex requirements clearly.
• Sound judgement when assessing risks, incidents and competing organisational needs.
• The ability to develop practical arrangements suitable for a voluntary membership organisation.
• Professional independence and willingness to identify and declare potential conflicts of interest.

The commitment

This is a voluntary, remote role. We will agree the scope, priorities and realistic time commitment before appointment.
