About EMD UK

EMD UK is the national governing body for group exercise, dedicated to achieving a vision of healthier communities through group exercise. We collaborate with group exercise instructors, fitness brands, leisure operators, and physical activity organisations across the sector to inspire people of all ages and abilities to participate in physical activity.

Contractual Terms

Title: Events & Projects Manager

Job Purpose: To manage and deliver impactful events and projects for EMD UK with precision, from initial planning through to evaluation.

Location: Home-based, with regular travel requirements

Contractual Status: Full-time

Salary: Mid-Level Band £33,000 - £40,500

Reports To: Head of Workforce

Role Description:

The Events & Projects Manager role involves managing, planning, organising, and executing events and projects across the organisation. This includes managing all aspects of an event, from initialising, planning to post-event evaluation, and facilitating projects to ensure they are delivered on time and within budget. It's a hands-on role that will require working as part of a team and collaborating with various stakeholders.


Key Tasks and Responsibilities:



Role specific:

Event Planning and Execution:

Developing event concepts and themes.
Creating detailed event plans, including timelines, budgets, and logistics.
Managing event budgets and resources effectively.
Coordinating with the Marketing Lead to develop and implement marketing and promotional strategies for events.
Coordinating with vendors, suppliers, and venues.
Facilitating and executing event setup, event delivery, and breakdown.
Managing event staff and volunteers.
Conducting post-event evaluations to assess event success and identify areas for improvement.
Analysing event data and providing feedback to senior manager and stakeholders.


Project Management:

Managing multiple projects simultaneously. This includes for example, projects related to content development, EDI and other areas as agreed.
Delivering on project phases from initialising phase to closure and reporting of the projects
Liaise with internal and external contractors to deliver on any aspect of a project.
Participating in relevant planning meetings
Managing and Developing each phase of the project ensuring each phase is structured and meets the outcomes and KRs of each phase including initialising, planning, delivery and execution, monitoring and controlling and closing.
Coordinating with the Marketing Lead to oversee agreed promotion of projects and associated content through multiple channels, including social media, website, and email marketing. Communicating with stakeholders throughout event and project lifecycles.
Building and maintaining strong relationships with stakeholders.


Administrative Support:
Handling documentation, scheduling meetings, and preparing reports to support project and event activities.


Organisational:

Demonstrate a clear understanding of, and commitment to, EMD UK’s mission and values, contributing to a positive, purpose-driven organisational culture.
Ensure effective administration of EMD UK’s processes in full compliance with all organisational policies, GDPR, and relevant regulations. To support the development of new and existing products and services.
Support and attend projects, meetings and events as required or appropriate on behalf of EMD UK.
Support the EMD UK staff team as required with any other relevant task commensurate with the level of the role and as requested by your line manager or Chief Executive.

About you:

Qualifications, experience, knowledge, skills & attributes needed for the role:


Essential Qualifications:

Educated to Level 4 with a qualification in either Event Management or Project Management


Essential Experience:

Minimum of 2 years of experience in project or events management
Proven track record of successfully delivering on key results in events and / or projects, ideally within fitness, wellness, or group exercise sectors.
Strong understanding of event logistics.
Experience in managing budgets, ensuring cost control.


Essential Skills:

Strong organisational and time management skills.
Capable of sharing ideas, updates, and information clearly through written or verbal communication.
Ability to work independently and as part of a team.
Problem-solving and decision-making skills.
Proficiency in project / event management software and tools E.g. Jira
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
Excellent written and verbal communication skills, with the ability to effectively liaise with stakeholders and team members.
Proactive problem-solving skills and the ability to manage unexpected challenges during project and event execution.
Ability to work independently and as a collaborative team.


Personal Attributes:

Meticulous attention to detail to ensure all aspects of projects and events are carried out with high quality completion.
Ability to adapt to changing circumstances and remain focussed in dynamic environments.
Collaborative attitude and ability to work within a team.
Proactive approach to identifying and addressing potential issues before they become problems.
Ability to meet objectives, deadlines.
Ability to be flexible, adaptable and follow procedure.
Ability and willingness to travel throughout the UK and to work evenings and weekends as required with access support from the organisation as needed.


Desirable Skills:

Knowledge of marketing and promotional strategies.
Experience with LMS and webinar platforms.
Excellent customer service skills to ensure a positive experience for all event /project participants.
Knowledge of fitness industry specifically Group exercise and its current trends
