Job Description
Location: Newport, South Wales
Salary: £28,000–£30,000 per annum (depending on experience)
Department: Commercial & Events
Hours: 37.5 hours per week, Monday to Friday, with flexibility to work evenings, weekends and matchdays as required.

We are seeking a highly organised, proactive and customer-focused Partnerships & Events Executive to join the Commercial Team at a regional rugby club based in Newport. The successful candidate will support the planning, coordination and delivery of conferences, corporate hospitality, private functions, networking events, sponsorship activations and matchday hospitality while delivering exceptional customer service.

Key Responsibilities

• Manage commercial event enquiries from initial enquiry through to completion.
• Coordinate conferences, corporate hospitality, private events, weddings, networking events and matchday hospitality.
• Prepare quotations, contracts, booking confirmations and invoices.
• Build strong relationships with clients and provide an outstanding customer experience.
• Produce detailed event plans, function sheets and operational schedules.
• Liaise with catering, operations, facilities and hospitality teams.
• Support sponsorship activations and commercial partner events.
• Maintain accurate CRM, booking systems and event records.
• Process deposits, payments and final invoices.
• Conduct venue show-rounds where required.
• Assist with marketing and promotion of commercial events.
• Produce reports on bookings, revenue and event performance.
• Provide general administrative support across the Commercial Department.

Essential Skills & Experience

• Previous experience within events, hospitality, commercial administration or venue management.
• Excellent organisational and time management skills.
• Strong administration and attention to detail.
• Excellent written and verbal communication skills.
• High level of customer service.
• Proficient in Microsoft Word, Excel, Outlook and PowerPoint.
• Ability to manage multiple priorities and meet deadlines.
• Professional and confident manner.

Desirable

• Experience within professional sport, hospitality or conference venues.
• Knowledge of CRM or event booking systems.
• Experience supporting sponsorship or commercial partnerships.
• Full UK driving licence.
