Job Description
Job Purpose

The purpose of the role is to proactively support the Business Operations Director, CEO and Chair of CGE. The Business Support Coordinator will ensure that CGE has an ‘exceptional environment’ to work in by reviewing and identifying opportunities to support the wider CGE team through improving office systems, processes and administrative procedures. The role is responsible for managing the day-to-day operational administration of the CGE office, including ensuring that staff are on-boarded and off-boarded effectively. The role will also provide support to the Chair and Board to ensure that Board and Committee meetings are organised and run in a professional and efficient manner.

 
Accountabilities

Chair and Board support
• Support the Chair and Company Secretary to organise a programme of Board and Committee meetings, ensuring that these are all fully diarised well in advance
• Provide administrative support to CGE’s Executive team in respect to Board and Committee meetings. This will include minute taking for ED&I, Sustainability, Commercial and Sports Committees
• Ensure that minutes for all Board and relevant sub-committee meetings are maintained to a professional standard and produced in a timely manner, and that actions are documented and followed up on
• Lead on the development and organisation of on-boarding programme for new Board & Committee members
• Management of Board portal, ensuring information housed there is up to date and relevant
• Support the Chair with the co-ordination and organisation of the annual Board appraisals
• Support with the planning and co-ordination of the annual AGM (either in-person or remotely) ensuring that the event is delivered in line with Chair/CEO specifications
• Provide support with additional stakeholder engagement events as required by Chair/CEO
• Maintain the annual Board skills matrix register

Governance / Compliance
• Maintain an internal policy matrix, conflicts of interest register for Board and Executive teams
• Support with annual review of internal policies & procedures to ensure continued best practice
• Creation and ownership of external stakeholder contacts register, ensuring that this is kept up to date


Office Management
• Be the main point of contact for all queries relating to CGE’s office, ensuring that any issues are pro-actively resolved
• Ensure that the CGE office is a ‘exceptional environment’ for staff to work. This includes but is not limited to ensuring that stationery is available, all IT & equipment is working and the Officely desk booking tracker is administered effectively
• Pro-actively manage the FORA relationship at Tintagel House. This includes tracking and reporting on meeting room usage, to ensure that CGE is receiving value from the free meeting room allocation
• Responsibility for ensuring the CGE office space is a safe working environment, including supporting on the implementation of the H&S policy, supporting managers with DSE assessments, being CGE’s main fire marshal and first aider
• Management of all office supplier relationships, ensuring CGE is receiving good service and value of money, and understands their environmental impact. This includes ensuring that contracts are reviewed and re-negotiated in advance of expiry and alternative suppliers pro-actively sought where necessary
• Manage the generic Team England mailbox, ensuring all enquiries are passed to the relevant people in a timely manner
• Lead on ensuring that CGE’s internal practices (particularly those focussed at the CGE office) support the organisation’s commitment to reduce its carbon footprint. This includes supporting on tracking and reporting with the UNS4CA carbon reporting requirements

People
• Owner of the new staff on-boarding and leaver off-boarding process, including ensuring new starters have the required IT available on starting
• Lead on the development and implementation of the Company Employee Handbook, which will include capturing all CGE benefits, and signposting to key policies
• Lead on the administration of CGE employee benefits (including private medical scheme, and employee assistance programme) to maximise usage and awareness of these benefits
• Administrative support to SLT including diary co-ordination and room booking for SLT meetings

General / Other
• Provide support to Finance on finance administration tasks (e.g. invoices, expenses)
• Support in ensuring that CGE remains compliant with Cyber Essentials certification and IT recommendations from external IT provider
• Ensure data held on organisational drives (Sharepoint) is maintained in line with data retention policies
• Provide on the day event support on external CGE events (e.g. Athlete alumni, Sponsor events, Kitting Out)
• Provide support to the CEO including administering expense claims on his behalf
• Be an approachable, pro-active, positive and ‘go to’ person within the team
