Job Title: Events Support Officer
Hours: 20 Hours (ideally over 5 days but negotiable)
Salary: £24,500 - £25,000 FTE
Location: Home Worker / Virtual
Responsible to: Events Operations Manager

The role will require occasional weekend work to support the delivery of BWL competitions (TOIL will be given for this time).

Job Purpose

 To assist the Events Team, by the provision of high quality and efficient administrative and IT support, handling multiple tasks and meeting deadlines

 To support BWL members and clubs with competition enquiries, acting as a first point of contact and providing a high-quality customer service

Key Responsibilities

• Provide exceptional customer service by responding to competition related queries in a professional, timely and accurate manner, via email and telephone.

• Deal with day-to-day competition administrative tasks including:
o Maintain and update competition related spreadsheets
o Create invitation lists based off rankings for appropriate competitions
o Assist with the creation of start lists, competition schedules and workforce rotas
o Verify athlete entries to ensure qualification standards are met
o Verify that all listed coaches hold valid licences by carrying out appropriate checks
o Assist with the onboarding and data capture of volunteers and technical officials
o Send thank you letters to volunteers and process expense claims as required
o Create of BWL events on the Event Management System and provide ongoing competition management via the platform including regular review and approval of BWL sanctioned events and results management.

• Assist in ensuring competition related documents are regularly reviewed and maintained to support members and clubs eg guidance documents and website content.

• Attend agreed BWL competitions to facilitate the smooth running of them alongside other Events staff.

• Support the COO/Events Operations Manager with any other tasks in order to contribute to the smooth running of competitions and the successful delivery of the operational plan.





Person Specification

The person specification describes the experience, qualifications, knowledge, skills and abilities that we are looking for.

Essential skills/experience are:
• Experience of working in a customer service/administrative role
• Excellent IT skills especially Microsoft Word, Excel and Outlook and knowledge of CRM systems
• Excellent time management skills with the ability to handle multiple tasks and meet deadlines
• Excellent communication and interpersonal skills to be able to handle customer enquiries promptly, professional and informatively
• Good problem-solving skills
• Ability to work part of a team and independently.
Desirable skills/experience are:
• An interest and enthusiasm for sport
• Knowledge of weightlifting / para powerlifting
• Experience of events management/administration
• Experience of working for a national governing body or sporting organisation.

Salary and Benefits

• Starting salary for the position will be £24,500-£25,000 FTE. Salaries are reviewed each year in April
• 26 days annual leave (FTE), which increase with length of service), plus statutory bank holidays
