Job Description
JOB PURPOSE & MAIN RESPONSIBILITIES

Reporting to the Head of Finance and working with colleagues, you will be responsible for supporting the smooth running of British Taekwondo’s financial operations by ensuring accuracy and efficiency in purchase and sales ledger activities, payments, and administration.
Key responsibilities include producing sales invoices, conducting credit control, handling supplier queries and reconciling transactions. Additionally, the position requires proactive contribution to improvement of financial processes and supporting the Head of Finance with various tasks and projects.


The primary responsibilities for this role will be:


1. Purchase and sales ledger

a. Process all incoming purchase invoices and employee expenses.

b. Code all purchase invoices and expenses and process them via the Xero accounting system, ensuring that they are matched up with purchase orders where required.

c. Produce sales invoices on Xero based on information for various business activity

d. Produce purchase orders on Xero when presented with business cases from colleagues and seek approval via ApprovalMax

e. Carry out credit control activities, following up on overdue sales invoices.

f. Act as main point of contact for dealing with supplier queries.


2. Reconciliations

a. Undertake daily bank reconciliations on Xero

b. Other monthly reconciliations to assist Head of Finance with monthly reporting.


3. Travel accounts

a. Manage hotel and other travel booking where required and assist colleagues with any queries

b. Ensure compliance with the Pre-travel approval process.


4. Systems and processes

a. Pro-actively suggest and implement agreed improvements to financial processes.

b. Work with the Head of Finance to ensure that systems and policies are kept up to date with changes to financial processes.


5. Other

a. Undertake any other reasonable duties for the Head of Finance and CEO.

b. Participate in ad hoc projects across the organisation.

c. Attend meetings, workshops and training courses on occasion and as appropriate.

d. Assisting Head of Finance with audit processes as required.



Qualifications - essential


· AAT level 4 or qualified by experience.

· Proficient in Microsoft IT packages including word, excel, power point and website navigation


Experience – essential


· Experience of carrying out financial administration procedures.

· Experience of supporting a team.

· Experience of a busy working environment, dealing efficiently with queries from colleagues and external parties.

· Experience of using Excel for financial analysis.

Experience – desirable


· Experience of using a cloud-based accounting system, such as Xero.

· Understanding of VAT

Knowledge – essential


· A good understanding of double entry book-keeping.

Skills & Abilities - essential


· Excellent organisational and time management skills with the ability to effectively meet agreed deadlines.

· Ability to prioritise own workload and to work with minimal supervision.

· Attention to detail and the ability to record information accurately.

· Excellent interpersonal skills and the ability to communicate fluently in English, both orally and in writing.

· Fluent user of Microsoft Office suite of products.

· Ability to maintain confidentiality when dealing with information of a sensitive nature.

· Professional and flexible approach to work, with the ability to deliver consistently high standards of work and customer service.

· Personal integrity and the ability to invoke trust and respect from others.

· Sets high standards and strives for continuous improvement in self and others

· A positive attitude to Information Technology in carrying out the responsibilities of the post.

· An understanding and commitment to equal opportunities.

· An understanding of individual responsibility in complying with British Taekwondo’s Health and Safety policies.

· Holds Right To Work in the UK – British Taekwondo is unable to apply for a Certificate of Sponsorship for this role.

· Employment is conditional upon a satisfactory Basic DBS disclosure, paid for by British Taekwondo.
