Job Description

HOURS OF WORK: Normally, the role will require 21 hours per week although at busy times, there may be a need for additional hours in evenings and weekends.

LOCATION: ParalympicsGB’s London office (101 New Cavendish Street, W1W 6XH) with the option of working from home or our Loughborough hub for up to 60% of the time. UK or overseas travel may occasionally be required.

JOB PURPOSE: To ensure the organisation’s IT needs are well-planned and supported by a well-managed IT service provision. Additionally, to ensure the provision of efficient and effective HR and Office Management functions.

KEY RESPONSIBILITIES IN DETAIL:
I.T.
Effectively manage the relationships with key providers, including:
• Manage the relationships with ParalympicsGB’s IT support and mobile phone providers, taking the lead in regular account meetings, ensuring the providers are very clear on our requirements and holding the providers to account, including addressing issues of under-performance.
• Manage outstanding user tickets through the IT provider’s Business Portal.
• Manage and complete significant device-related projects with IT support provider, including embedding Vulnerability Management Service and Managed Device Service.
• Work with the IT provider’s Managed Assurance Service team to plan phishing campaigns, staff training and to respond to findings from dark web scanning.
• Liaise with ParalympicsGB teams to identify future needs and build those into operational planning. Liaise with the Games Operations team to keep aware of Games-related IT plans and challenges.

Provide day to day IT service for staff including:
• A “triage” service to users in the resolution of IT issues in liaison with the provider.
• Following up issues raised by users with the IT support provider to ensure issues are being dealt with promptly and that the users are kept informed.
• Procure IT equipment, specifically laptops and mobile phone handsets and ensure newly procured equipment is set up correctly and is ready for use.
• Ensure the IT provider is made aware of onboarding/offboarding needs for starters and leavers including email accounts, access to relevant tools, systems and Sharepoint.
• In conjunction with service provider, manage user licenses so that we have the right number of the right licences at the right cost.


Office
• Maintain the online leave booking system and help staff with queries on its usage.
• Ensure the externally hosted staff benefits portal is well-maintained and that new staff have access to the portal
• Attend Health & Safety committee meetings; follow up actions agreed at those meetings
• Assist in managing day-to-day ParalympicsGB health and safety, to include the identification and training of fire marshals, first aiders, and evacuation chair training.
• Provide support to staff working remotely, being proactive in understanding challenges faced and making suggestions of how ParalympicsGB can help.
• Representing Corporate Services on specific cross organisational projects, as required.
• Answering phone calls to ParalympicsGB’s general office number and managing the general info/enquiries email Inbox.
• Provide support for conducting and reporting on staff surveys.
• Together with other colleagues in the Corporate Services Team, provide support and limited cover when other team members are on leave.

PERSON SPECIFICATION

ROLE REQUIREMENTS

Due to its engagement with the ParalympicsGB teams at both the Summer and Winter Games, an assessment process may be undertaken to determine whether or not the post-holder requires a DBS Disclosure and Barring Service (DBS) List check.

KNOWLEDGE AND SKILLS

Essential

• Ability to assertively manage supplier relationships.
• Ability to work with staff teams to understand the IT implications of their team plans.
• Ability to manage projects .
• Excellent interpersonal and verbal communication skills.
• Excellent organisational and administrative skills including the ability to juggle multiple priorities .
• Well-developed time management skills, including the ability to set and meet deadlines and to prioritise work.
• Strong written and presentation skills.
• Ability to self-start and be proactive in determining priorities and tasks.
• Experience of Microsoft Office packages.

Desirable

• Understanding of disability sport.
• Understanding of accessibility issues.
• Experience of working with outsourced service providers.
