Job Description
British Gymnastics has the following permanent full-time post:

Events Systems Officer

37 hours per week

Salary range £26,699 to £28,650 per annum (dependent upon experience)

31 days annual leave (including Company days) + Bank Holidays + 2 wellbeing days a year + weekly exercise and wellbeing hours

This is a dual based role working from Lilleshall National Sports Centre, nr Newport, Shropshire (2 days a week) and from home.
There will be National Travel and evening, and weekend working required in this role



Role Summary:
The overall purpose of this role is to provide support to the Events team, including maintaining effective communication with Technical Committees (TCs) to develop/build the online entry system, facilitate online entry to competitions and support the delivery of the scoring and results services at nominated events. Supporting the development of Event Systems within the department to provide an efficient and effective customer service experience to BG Members. Please refer to the Role Profile for further details.


Main Areas of Responsibility:
1. Develop & maintain event systems
Typical Activities:
• With support from Event Managers, lead on the approach to understand the sport technical requirements, to develop the competition handbook for each discipline and publishing on the website (including updates)
• Lead the process to establish the technical specifications for all the events and loading these specifications onto the events management system/MyBG and other internal systems e.g. competition records, awards, membership, event dates, tickets etc
• Working with event managers and event officers to input data to the event management system at each stage of planning (names of officials, arrival times of contractors etc)
• Working with Event Managers to establish the rules, criteria and deadlines for their respective events programme
• Managing the end-to-end process to transfer entry data from the online entry system to the scoring system
• Support the relevant Event Manager in liaising with venues with regard to the technical specification needed for scoring equipment; and the on-site logistics, access, storage facilities etc

2. Support the delivery of designated National Events
Typical Activities:
• Attending designated events and assisting with the set-up/break-down of events, as required
• Lead the installation of BG Score for designated events
• Manage the delivery of scoring service for designated events including the training for judges/officials, volunteers, producing graphics, storing and sharing/uploading the recorded data to the website, (MyBG videos etc), and results distribution to key stakeholders
• Maintaining coach/gymnast data for competition start lists/published programmes.
• Recording and monitoring the budget for the events; getting quotes, raising purchase orders and chasing invoices and expenses

3. Provide administration support to the events team/events programme
Typical Activities:
• Answering the telephone for public/ internal enquiries in relation to the work of the Events team, responding to requests for information e.g. online entry, general event queries and /or appropriately forwarding calls, correspondence and emails to relevant stakeholders both internally and externally
• Supporting the administration of finances, processing event income
and expenditure through Iplicit, liaising with Finance colleagues, suppliers, contractors etc as required and monitoring transactions on an event by event basis on the relevant budget spreadsheet

• Confidence in using IT systems, spreadsheets and databases (training on our systems will be provided)
• Strong communication skills and a helpful, approachable manner
• An ability to work well with others, supporting colleagues and stakeholders to meet shared goals
• A flexible and proactive attitude—ready to take initiative and adapt to changing needs
• A commitment to creating an uplifting experience for all
• Knowledge of gymnastics or other participation-based activities is preferable.

This role requires the holder to be a key facilitator and the person of contact for the delivery of the scoring and results service for national events, which will require a good understanding of:

• The Department strategy and the organisational strategic priorities in relation to participation
• Gymnastics events across all disciplines, including technical specifications, schedules and processes for entry requirements and competition scoring
• BG event protocol, rules and regulations
• Official and volunteer roles/requirements health, safety and welfare requirements
• Venue and equipment requirements
• Event planning, budgeting etc.
