Job Description
DEPARTMENT: Women’s Operations
REPORTS TO: Women's General Manager

LOCATION: Bristol Bears High Performance Centre, Abbots Leigh, Bristol, BS8 3TF. Where required, the role will include duties at off-site locations.

CONTRACT TYPE: Full-Time, permanent
WORKING HOURS: 37.5 hours per week, this role will include working evenings and weekends
SALARY: £30,000 - £35,000, depending on experience
CLOSING DATE: Friday 19th June at midnight



ABOUT BRISTOL BEARS

Bristol Bears Rugby is part of Stephen Lansdown’s sporting group of companies which includes Bristol Sport, Bristol City Football, Bristol Flyers Basketball and each of their respective community charities.

Our vision is ‘to inspire our community through rugby success’. Our supporters regularly attend Shaftesbury Park to watch the team perform in Premiership Women’s Rugby league.


ROLE SUMMARY
The Team Operations Manager will support the day-to-day operational delivery of Bristol Bears Women, ensuring efficient coordination across player administration, compliance, scheduling, travel, logistics, and matchday operations.
The role is central to ensuring smooth operational delivery across the women’s programme while maintaining high professional standards and supporting player welfare.



PRINCIPLE RESPONSIBILITIES
RUGBY OPERATIONS
• Coordinate daily rugby operations and administration.
• Maintain compliance with PWR, RFU and World Rugby regulations.
• Lead the delivery of the PWR Minimum Operating Standards (MOS).
• Coordinate player schedules and operational planning.
PLAYER ADMINISTRATION
• Register players and manage RFU/GMS administration.
• Assist the Head Coach, General Manager and Senior HR Business Partner with the administration of player onboarding paperwork.
• Process player appearance and expense requests.
• Manage trialist administration and onboarding/offboarding processes.
• Coordinate player welfare logistics including travel and accommodation.
• Coordinate player appearance and community requests.
MATCHDAY & TRAINING OPERATIONS
• Coordinate matchday operational delivery.
• Submit training and matchday schedules to ADAMS (UK Anti-doping).
• Support logistics for training and fixtures.
• Coordinate pathway partnership administration.
• Working with the performance staff and Performance Chefs on schedule and food numbers.
• Be the Club’s Discipline Officer, and the main point of contact for any discipline enquiries from the RFU (Rugby Football Union).
• Be the Learning Management System (LMS) Manager, ensuring that all players and staff have completed the required RFU and World Rugby educational modules.
• Responsible for a pre, during and post-match administration in relation to organising match day.
COMPLIANCE & GOVERNANCE
• Monitor compliance with anti-doping and regulatory processes.
• Maintain accurate operational records and documentation.
• Be the Designated Safeguarding Officer (DSO) safeguarding and player welfare procedures.
VENUE & LOGISTICS
• Support operational delivery at Shaftesbury Park.
• Coordinate venue logistics and operational requirements.
• Liaise with internal departments and external stakeholders.

• Women’s Athletic Performance Lead

ESSENTIAL SKILLS
• Highly organised
• Attention to detail
• Able and legal to drive a van
• Time Management
• Ability to work as part of a team


DESIRABLE SKILLS
• Experience of working in a professional women’s sport environment.
• Experience and knowledge of the World Rugby, RFU and PWR competitions and relevant regulations.


HEALTH AND SAFETY
• Responsible for ensuring all health and safety procedures are followed at all times, with relevant documentation to support
• To ensure all employees complete the training required to do their job
• Report all incidents and accidents as required
• To complete and review the relevant risk assessments.
